Privacy Policy

CrewCommander is built by one person in Atlanta, Georgia. This policy explains what data we collect when you use our platform, how we use it, and what rights you have over it. We've written it in plain English because we think you should actually be able to read it.

Information We Collect

Account information. When you register, we collect your name, email address, company name, and password (stored as a secure hash — we never store your actual password). If you upgrade to a paid plan, payment information is collected and processed by our payment provider; we don't store card numbers directly.

Usage data. We collect information about how you use CrewCommander — which features you use, when you log in, and general activity patterns. This helps us understand what's working and what isn't so we can improve the product.

Measurement reports and job data. When you upload roof measurement PDFs or create jobs, that content is processed on our servers to extract measurements and generate materials lists. This data is associated with your account and stored securely.

Communications. If you contact us by email or through the product, we keep a record of that correspondence.

How We Use Your Information

To provide the service. We use your data to operate CrewCommander — processing your uploads, generating estimates, syncing with your CRM, and generally making the product work.

To improve the product. Aggregate usage data helps us understand which features are useful and where the product has gaps. We don't sell this data to anyone.

To communicate with you. We send transactional emails (receipts, password resets, important account notices). If you opt in, we also send product updates and occasional announcements. You can unsubscribe from non-transactional emails at any time.

To process payments. Billing information is used to manage your subscription. We use a third-party payment processor; see the Third-Party Services section below.

Data Storage and Security

Your data is stored on secure, encrypted infrastructure. We use industry-standard practices: data encrypted at rest and in transit, access controls limiting who can see what, and regular security reviews.

No system is 100% secure, but we take protecting your data seriously. If we become aware of a security breach affecting your data, we'll notify you promptly.

Third-Party Services

CrewCommander integrates with services that have their own privacy practices:

  • CRM integrations (AccuLynx, JobNimbus). When you connect your CRM, we access your CRM data through their APIs to perform actions on your behalf. Your CRM provider's own privacy policy governs their data handling.
  • Payment processing. Subscription billing is handled by a third-party payment processor. We receive a transaction confirmation and last-four digits; we never see or store your full card number.
  • AI processing. Commander's AI capabilities are powered by Anthropic's Claude. Conversation data sent to Commander may be processed by Anthropic in accordance with their usage policies.
  • Analytics. We use minimal analytics to understand how the product is used. We don't use advertising networks or sell behavioral data.

We don't sell your data to third parties. Full stop.

Your Rights

You have the right to access, correct, export, or delete your data at any time. Here's how:

  • Access and export. You can export your data from your account settings at any time.
  • Correction. You can update your account information directly in the product.
  • Deletion. You can delete your account from account settings. This permanently removes your data from our systems within 30 days. Some data may be retained longer if required by law (for example, billing records).

Cookies

We use cookies minimally. Session cookies keep you logged in while you use the product. Analytics cookies help us understand aggregate usage patterns. We don't use advertising cookies or third-party tracking pixels. You can disable cookies in your browser, though some product features may not work correctly without session cookies.

Children's Privacy

CrewCommander is a business tool intended for adults. We don't knowingly collect personal information from anyone under 18. If you believe a minor has created an account, contact us at privacy@crewcommander.io and we'll remove the account promptly.

Google API Services — Limited Use Disclosure

CrewCommander uses Google API Services to allow users to connect their Google account for email (Gmail) and calendar (Google Calendar) integration. Our use of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.

Specifically, when you connect your Google account to CrewCommander:

  • Gmail. We access your Gmail account solely to send and receive emails on job records within CrewCommander. We read email threads linked to your jobs so they appear in your job communication history. We do not read, store, or process emails unrelated to your CrewCommander jobs.
  • Google Calendar. We access your Google Calendar solely to sync appointments and job schedules you create in CrewCommander. We do not read or store calendar events unrelated to CrewCommander activity.

Data obtained through Google APIs is used only to provide and improve the features you explicitly connected Google for. We do not use this data to serve advertising, and we do not share it with third parties except as necessary to operate the service (for example, storing it in our database so it appears in your account). We do not allow humans to read your Google data unless you explicitly request support and provide consent.

You can disconnect your Google account at any time from your account settings. Disconnecting removes CrewCommander's access to your Google data going forward. You can also revoke access directly from your Google Account permissions page.

Changes to This Policy

If we make significant changes to this privacy policy, we'll notify you by email and post an updated version here with a new "last updated" date. Continuing to use CrewCommander after those changes take effect means you accept the updated policy.
